General Ledger

Premium Feature - The General Ledger requires a Premium subscription (Accounting module).

The General Ledger lists all entry lines of the selected period, grouped by account. Use it to check movements, match lines that offset each other, and open the source document (invoice, expense) of a line without leaving the page.

  • Columns: Account (account number, or sub-ledger code), Account Name, Date, Journal, Entry No., Description, Lettering, Source document (icon), Debit, Credit, Debit balance, Credit balance
  • Running balance: the Debit balance and Credit balance columns add up the lines of one account and restart from zero at the next account
  • Account filter: Account selector and filter button above the table
  • Search and a matching filter All / Matched / Unmatched
  • Pagination: 50 lines per page, with a Total row (debit and credit)
  • Export Excel (.xlsx) and Export PDF (.pdf) in the page header
  • Split view: click a line that has a source document; the document appears on the right of the table
  • Match / Unmatch in bulk, with the Partial matching option (for users who can edit accounting)
  1. In the period selector, choose the fiscal year and, if needed, the From and To dates
  2. The table reloads with the lines of the period
  3. For one account only: pick it in Account, then click the filter button; the page address keeps this account
  4. Use the search or the Matched / Unmatched filter to narrow the displayed list
  1. Click Export Excel or Export PDF in the header
  2. A loading indicator appears on the link while the file is generated
  3. The file downloads with the name generated by the system

Watch the step-by-step tutorial

  1. Look for lines that show the document icon in the Source document column
  2. Click the line: the split view opens on the right
  3. The panel header shows the Entry No. and the document type (Invoice, Expense or Sales invoice); the PDF or image appears below
  4. Click the download icon to save the document, named after the Entry No.
  5. Click the ✕ icon to close the panel
  1. Tick at least two lines in the table
  2. Click Match
  3. If the debit total and the credit total of the ticked lines differ, the action is refused: tick Partial matching first, then click Match again
  4. A matching code appears in the Lettering column and a confirmation message shows; the list is not reloaded
  1. Tick lines that are already matched
  2. Click Unmatch
  3. Check the codes in the confirmation dialog, then confirm
  • The matching code is shown in a badge. A code that ends with * marks a partial match. A code that ends with # has its own style (match linked to opening balances).
  • Unmatch removes the matching for all lines that carry the same code, even if you ticked only one of them.
  • The export follows the fiscal year, the From / To dates and the filtered account. It ignores the search and the Matched / Unmatched filter.
  • The Account column shows the sub-ledger code when the line has one (customer, supplier…).
  • “No entries in this period”: the period has no lines. Check the fiscal year, the dates and the filtered account.
  • Banner “Opening balance recalculation failed…”: the displayed balances may be out of date. Contact support if the message comes back.
  • The document panel does not open: the line has no source document (no icon). Clicking such a line closes the panel.
  • “No document to display for this transaction”: the document could not be shown in the panel.
  • “Failed to load the document”: try again; the document is loaded on demand.
  • “Select at least 2 lines to match.”: tick two lines or more.
  • “One or more lines are already matched.”: unmatch first, or remove these lines from the selection.
  • “All lines must belong to the same sub-ledger.”: do not mix different sub-ledgers in one matching.
  • “Selected lines are not balanced. Check ‘Partial matching’ to proceed.”: fix the selection, or tick Partial matching if this is intended.
  • “The selected lines are not matched.”: Unmatch only applies to matched lines.
  • Match / Unmatch buttons missing: your role cannot edit accounting.
