Reconciliation Rules
The Reconciliation Rules page lists every rule used to automatically match your bank transactions to your invoices (credits) and your expenses (debits).
Key features
Section titled “Key features”- List of all rules, with their keyword, type (Debit or Credit), the linked supplier/client, expense category, and status (active/inactive)
- Filter by type: All types, Debit, Credit
- Create, edit, activate/deactivate, and delete rules
- Creates expense badge on debit rules configured to auto-create an expense (see the Reconcile Debits page)
Create a rule
Section titled “Create a rule”The page header has two separate links for creating a rule — the type isn’t chosen in the form, it’s fixed by the link you click:
- Create debit rule opens the form for an expense-matching rule.
- Create credit rule opens the form for an invoice-matching rule.
In the dialog that opens:
- Enter the keyword and the match type (contains, starts with, ends with, exact match) that will be compared to transaction descriptions.
- Select the supplier (debit rule) or client (credit rule) to link.
- For a debit rule, optionally choose an expense category.
- For a debit rule, enable Auto-create the expense so a matching debit generates a creation proposal directly on the Reconcile Debits page, without needing an existing expense. Then fill in:
- the VAT rate to apply,
- VAT deductibility,
- a description template for the created expense (leave empty to reuse the transaction description).
- Click Save Rule.
Edit or delete a rule
Section titled “Edit or delete a rule”- Click Edit rule in a row’s action menu to change its keyword, target, or auto-create settings.
- Click the eye icon to activate or deactivate a rule without deleting it.
- Click Delete then confirm to permanently remove a rule.
Accessing the page
Section titled “Accessing the page”The page is reachable via the Manage rules link on the Transactions, Reconcile Credits, and Reconcile Debits pages: the type filter is applied automatically based on the originating page.
Best practices
Section titled “Best practices”- Create an auto-create rule for recurring charges that never come with an invoice (telecom, bank fees, taxes, subscriptions): they’ll be proposed and reconciled in one click on Reconcile Debits.
- Use a keyword specific enough (e.g. the supplier’s name) to avoid false positives.
- Deactivate a rule instead of deleting it if you might reuse it later.
Troubleshooting
Section titled “Troubleshooting”- A rule never triggers: check that the keyword actually matches the transaction descriptions and that the chosen match type is appropriate.
- The creation proposal doesn’t appear: make sure “Auto-create the expense” is enabled on the rule and that no existing expense matches the debit better.
- Can’t create a rule: the supplier/client is required, as is the expense category for debit rules with auto-create enabled.
